Salary Range: $38,000 – $45,000
FLSA Classification: Salaried, Exempt
Position Type/Duration: Full Time, Grant-funded/12 months
Position Schedule: 8a.m – 5p.m. (Some extended hours, weekends, and travel may be required)

GENERAL SUMMARY OF POSITION

GEAR UP will provide rigorous academic preparation leading to college and career readiness for students enrolled in high poverty, underserved rural schools impacted by lack of resources, low academic achievement, low graduation rates, and chronic cycles of underperformance and low education attainment among students and families of poverty. The GEAR UP Administrative Coordinator will assist the Project Director and the Associate Project Director of GEAR UP as they develop and implement the programming for the project in alignment with the Voorhees University GEAR UP! Project Narrative. The Voorhees University GEAR UP Administrative Coordinator provides clerical and administrative support for the GEAR UP Program. The position reports to the GEAR UP Project Director and Associate Project Director and performs various administrative staff assignments. Responsibilities require independent thinking and a highly responsive approach to the job assignment.

ESSENTIAL FUNCTIONS

  • Maintain the Project Director’s and Associate Project Directors’ schedules and appointments on a computerized calendar, using the scheduling feature to conduct busy searches and streamline the meeting scheduling process. Arrange and coordinate meetings, events, and catering of conferences and workshops. Work closely with and assist all GEAR UP staff members.
  • Plan for all advisory committees and steering committees. Keep and distribute minutes and materials. Take notes during the meeting. Coordinate communication between committee members and the program coordinator. Type draft and final documents in word/ Create visuals using Microsoft Word and PowerPoint programs, incorporating color and transitional features.
  • Assist the Project Director and Associate Project Director with budget requests, maintain an accounting of budget funds, and request budget transfers when appropriate.
  • Prepare travel expense vouchers, purchase orders, RFPs, contracts, and other related documents. Also, track supplies to be purchased and update shopping lists.
  • Ability to establish and maintain effective working relationships with personnel in the office target school, communities, and partner organizations.

EDUCATION

  • Associate Degree required. Bachelor’s degree is preferred.

PHYSICAL DEMANDS

  • Standard Office Environment.
  • Extended evenings and weekends required.

PREFERRED QUALIFICATIONS

  • Ability to carry out staff assignments requiring the organization of material and development of procedures with minimal supervision.
  • Ability to speak and write effectively.
  • Proficient in Microsoft Word and PowerPoint and a working knowledge of Excel and Access. Proficient in Microsoft Publisher or Adobe PageMaker, or similar publishing software.
  • Ability to establish and maintain effective working relationships with personnel in the target schools, communities, and partner organizations.

ADDITIONAL JOB REQUIREMENTS

Additional Physical, Cognitive, and Other Requirements:

Duties involve working in a school/office environment that is sedentary or may include walking and standing. Requires the ability to apply judgment and complex logic in defining problems, collecting information, and drawing valid conclusions. Duties require effectively informing and advising students, teachers, parents, community members, and others. Must correctly prepare reports, recommendations, correspondence, etc., including proper spelling, punctuation, and grammar. Duties require successful adaptation to stressors, emergencies, tight deadlines, etc. Must be able to record and exchange data, follow or deliver verbal or written instructions, and make presentations to varied groups, including students. Must be able to interpret/apply school or district policies and procedures. Must be able to add and subtract, multiply and divide, and determine decimals. The duties of the job require routine keyboard operations and the frequent use of a computer monitor and related equipment. Duties may involve the exertion of up to 10 pounds of force regularly.

Working Conditions:

Physical demands are restricted to general office activities, walking, standing, and the ability to complete light physical tasks. Duties require the movement/lifting of items weighing up to fifty pounds. Requires the ability to work under a degree of stress related to responsibilities that require constant attention and meeting tight deadlines.
